The Australian National Maritime Museum is seeking a highly motivated Digital Asset Officer with experience in using digital asset management systems and strong stakeholder engagement skills to join our Digital team in this full-time, non-ongoing APS Level 5 position with possibility of ongoing. The Digital Asset Officer is responsible for the management of the museums digital assets and the administration and development of the digital assets management system (DAMS). This role will work with internal and external stakeholders and will create and manage workflows for the efficient, secure storage, administration and sharing of the museums digital assets. The position also advises on policy and procedure and services digital asset requests from internal and external stakeholders. Please note: This recruitment process is intended to fill both current and future vacancies. While the position on offer is non-ongoing, a merit pool of suitable applicants may be established to fill similar ongoing and non-ongoing positions within the next 18 months. Key Accountabilities Under limited direction, this position is responsible for delivering the following functions:

  • Managing, operating, and administering the DAMS for the efficient, secure storage, access and sharing of the museums digital assets including collection digitisation assets and legacy archives and liaising with internal and external stakeholders regarding user configuration, systems interconnectivity, database maintenance, software updates, implementation of workflow enhancements, and the resolution of technical issues.
  • Developing and administering workflows to manage access and archiving of digital assets including the secure transfer to server, ingestion into the DAMS, file and format management, quality assurance, metadata cataloguing, rights information management and retention or disposal of digital assets.
  • Archiving digital assets, including backlog legacy archives, that are produced by museum staff and external content creators and ensuring images are securely stored, filed, and named and described appropriately and accessible to stakeholders.
  • Providing technical expertise, support, and training to staff in the use of the DAMS and assisting with the preparation of policy and procedural technical guidelines.
  • Managing workflows and responding to requests for digital assets, uploading digital assets to the collection management application (TMS), and releasing to Fotoweb and other digital channels as required.
  • Applying knowledge of copyright and rights management and following related procedures to determine the appropriate release of digital assets for requests.
  • Undertaking research and analysis and maintaining an awareness of developments and innovations in digital asset management, digital imaging technology and workflows, and collection digitisation in the cultural sector and advising internal stakeholders on digital asset management and digital asset standards for access and preservation, retention and disposal.
Selection Criteria
  • Demonstrated ability and experience in using digital asset management systems such as the Fotoware suite of applications, collection management systems and /or other database applications.
  • High level of knowledge and experience in copyright principles and procedures and administration of digital assets and the principles of digital preservation.
  • High level of knowledge and experience in file management, metadata taxonomies and standards, image specifications and technical parameters, including requirements for output to print and digital platforms .
  • Demonstrated knowledge of digital imaging standards for cultural heritage preservation and ability to advise on project guidelines to ensure image file compliance as well as the ability to problem solve, identify improvements to processes and contribute to the documentation of processes.
  • Excellent attention to detail, the capacity to work on repetitive tasks with accuracy and the ability to work independently with initiative to achieve project and organisational goals.
Qualifications and/or relevant experience required Desirable:
  • Experience using Fotoware suite of applications; Fotoweb, Index Manager and FotoStaion.
  • Knowledge of analogue photography formats and their archival handling and storage.
  • Knowledge of photography and video formats.
  • Understanding of TMS (or similar collection management system).
  • Experience working on digitisation projects within the cultural heritage sector.
  • Excellent communication and interpersonal skills, including the capacity to work collaboratively in a small team.
  • NSW Drivers licence.
