We have an exciting opportunity for an Office Manager to join ABL Group in Perth, Australia. As our Office Manager, you will be the backbone of our office operations, ensuring efficiency and effectiveness across all departments. Your role involves supervising the administration team while organizing and coordinating office procedures. Your responsibilities will include, but not be limited to, the following:
  • Oversee office facilities, administration, reception, and secretarial duties to ensure efficiency.
  • Supervise the Perth Administration team, including recruitment, training, and resource coordination.
  • Manage accounts receivables, including invoicing, credit control, and WIP analysis.
  • Process monthly and ad hoc payroll, ensuring compliance with obligations like superannuation and payroll tax.
  • Handle invoice processing, payments, and AP-related activities.
  • Manage leave, accruals, and TOIL updates.
  • Assist in contract deliverables, expenditure reporting, and contract renewals.
  • Coordinate project administration, including creation, archival, and work order preparation.
  • Ensure legal documents, licenses, permits, and insurance are up to date.
  • Manage freelancer agreements, inductions, and CV maintenance.
  • Assist with personnel records, visas, and work permits.
  • Support QHSE compliance and training record updates.
  • Supervise office supplies, equipment maintenance, and kitchen stock.
  • Provide support to Project Teams and Senior Managers as needed.
  • Ensure adherence to HR, HSE, and group policies.
  • Meet KPIs and goals set by the Line or Country Manager.
  • Comply with company QHSE policies at ABL premises, projects, and client sites.
  • Perform other tasks as assigned.
The role is based in Perth, Australia, and the incumbent needs to have the right to work and reside in Australia. Flexibility with working hours may be required from time to time. What we are looking for. We are looking for a detail-oriented candidate who demonstrates financial and office management skills with a strong attitude to work and adapts to a fast-paced environment while remaining organized and proactive in managing a varied workload. In addition, you:
  • Minimum 10 years of relevant administrative or office experience.
  • Strong computer skills, including proficiency in Microsoft applications and file management.
  • Excellent written and verbal communication skills in English.
  • Professional telephone manners and interpersonal skills.
  • Highly organized, self-motivated, and detail-oriented.
  • Ability to prioritize tasks and meet tight deadlines.
  • Professional attitude and image with a strong work ethic.
  • Adaptable, proactive, and empathetic when dealing with different situations.
  • Able to work both independently and as part of a team.
  • Strong time management, multitasking, and problem-solving abilities.
Desirable:
  • Qualification in bookkeeping or accounting.
  • Experience in the offshore industry.
  • Previous client-facing role experience.
  • Supervisory experience.
  • Oil & gas and insurance knowledge.
  • Strong organizational and commercial/business skills.
