About the Role

We are seeking a dedicated and highly organised Admin Assistant to join our Secondary School Pastoral Care team. This pivotal role supports the wellbeing and development of students by supporting the Deans of students for 7-9 and 10-12, planning of pastoral care programs, managing discipline processes, and coordinating student leadership initiatives. The role is responsible for planning and delivering pastoral workshops and events, involves liaising with external providers, scheduling activities in alignment with the school calendar, and ensuring clear communication with staff, parents, students, and the wider community.

Please note that this is a Clerical and Administration Service role and does not include any teaching responsibilities.

Key responsibilities include
  • Coordinating pastoral care activities, assemblies, and student-led events.
  • Managing discipline processes, including detentions, suspensions, and related communication.
  • Supporting the counselling team with calendar management and referrals.
  • Organising student leadership programs and assemblies.
  • Overseeing the school's vaccination program in partnership with health authorities.
  • Managing budgets, invoicing, and ordering pastoral supplies.
  • Maintaining accurate records and generating reports related to pastoral care and student management.
  • Liaising with external providers and scheduling activities in alignment with the school calendar.
  • Ensuring clear communication with staff, parents, students, and the wider community.

This role is full time and works across both term time and non-term periods. This role requires a proactive approach, exceptional organisational skills, and the ability to manage sensitive information with professionalism and discretion.
