We have an exciting opportunity for an Administration Officer to assist our Darwin Operations.


ABOUT THE ROLE

The primary purpose of the Administration Officer is to maintain the day-to-day running of Qube and site clientele administration duties onsite, as well as undertaking activities associated with operations, safety, finance, payroll, and human resources.

Specific Responsibilities

  • To work as directed by the Site Manager
  • Maintain site employee personnel, training files & issuing of employee/contractor inductions.
  • Maintaining Contractor management & compliance through online portal
  • Assist Site Supervision with stock control of site critical safety equipment.
  • Ordering of office stationery requirements & site amenities supplies
  • Supporting site maintenance and updating site critical maintenance registers for compliance
  • Manage site mailing and attend to all postal deliveries and collections.
  • Organise collection & delivery of courier parcels.
  • Supervise office cleaning contractor and general housekeeping.
  • Manage all incoming phone calls to site.
  • Attend to office reception – visitors, couriers, contractors, and general enquiries.
  • Raising purchase orders, purchase order close out and processing of sites invoicing
  • Support all sites administration duties, update, and distribute safety information as directed.
  • Assist HSE Advisor/Site Manager with document preparation and document control of site documents.
  • Attend monthly SHE Committee meetings.
  • Assist with Internal and External audits and liaise with auditors regarding compliance and evidence.
  • Reviews with HSE Advisor Training Matrix for competencies and required training for all site safety related training packages.

Follow the Safety, Health & Environmental System

  • Follow the requirements of the SHEMS documentation including Rules, Procedures, and Instructions
  • Identify system shortcomings and opportunities for improvement.

Be Prepared to Work Safely

  • Report to duty in a fit state, free from fatigue the influence of alcohol or other drugs
  • Wear required Personal Protective Equipment and operate plant equipment safely.
  • Participate in consultation activities regarding matters affecting your health, safety, and welfare.
  • Participate in relevant safety training and maintaining your safety related competencies.
  • Engage in Work only when in possession of required and current Certificates of Competence

Qualifications and Experience

  • Current drivers license
  • A minimum of 2 years previous experience in a similar role
  • Strong interpersonal skills and the ability to communicate with a variety of people.
  • Advanced skills using Microsoft Office, Excel, and PowerPoint.
  • Ability to work autonomously using a proactive approach to task resolution.
  • Ability to be flexible and adaptable to work in a demanding environment.
  • Ability to work well within a small team environment.
