Office Coordinator (4 days per week) 12-month fixed term contract

Based across our Pitt Street (Sydney CBD) and Marsden Street (Parramatta CBD) offices, supporting our wider Corporate Office sites.

We are looking for an organised, proactive and positive Office Coordinator who enjoys helping things run smoothly and creating a welcoming workplace for everyone.

The role reports to the Corporate Workplace Manager.

About the role

You’ll be the friendly and reliable presence who helps keep our offices running smoothly. From welcoming visitors to coordinating facilities and supporting teams, you’ll play a key role in creating a professional, safe and well-organised workplace.

You’re someone who communicates easily, keeps a smile on your face, and is happy to pitch in wherever needed to support a great team environment.

Key responsibilities

  • Provide day-to-day office management support ensuring the smooth running of corporate offices
  • Act as the first point of contact for staff, visitors and enquiries (phone, email and reception)
  • Build strong working relationships with suppliers, building management and internal stakeholders
  • Collaborate with Synod Reception (Level 10 Pitt St) when required
  • Support facilities and building management to maintain a safe, secure and tidy workplace
  • Manage office security practices including access control, key management and visitor processes
  • Support development and implementation of office processes and procedures
  • Procure and manage office supplies in line with corporate purchasing guidelines
  • Coordinate meetings, events and catering (onsite and offsite)
  • Support Work Health & Safety compliance across the office environment
  • Assist with financial administration including expense tracking and reconciliations
  • Coordinate mail, courier services and deliveries
  • Ensure meeting rooms, kitchens and shared spaces are clean, organised and professional
  • Manage bookable office resources including meeting rooms, hot desks and pool cars
  • Support office technology and equipment availability
  • Provide administrative support to the Property Management team and Executive Assistant/Executive Officer teams as required

About you

You’re a natural organiser who enjoys helping people and keeping things running efficiently. You’re comfortable juggling tasks, building relationships and maintaining a professional environment.

You will bring:

  • Around 3+ years’ experience in office coordination, administration or facilities support
  • Strong written and verbal communication skills
  • Excellent organisational skills and attention to detail
  • Confidence managing multiple stakeholders and priorities
  • Ability to work both independently and as part of a team
  • Proficiency in Microsoft Office, particularly Outlook
  • Knowledge of facilities or building management processes
  • Strong problem-solving and coordination skills

Even better if you have:

  • Experience with purchase orders and invoice processing
  • Event coordination experience
  • Experience working in a medium to large organisation
