Executive & Portfolio Support
We are seeking a highly capable Executive & Portfolio Support to provide high‑level, hands‑on executive and operational support to the Executive Lead Practice Excellence & Integration and their portfolio. This is a pivotal role that enables executive effectiveness, supports informed decision‑making, and ensures portfolio priorities are planned, coordinated, and delivered efficiently. This is a Permanent Part‑time role (0.8 EFT) based at our Hawthorn corporate office with flexible working arrangements that include work‑from‑home opportunities and occasional travel.
Remuneration
$96,000 pro rata + super + generous salary packaging.
Key Responsibilities
Executive Support & Workflow Management- Proactively manage executive workflows, including diary and email management, monthly credit card reconciliations and invoicing, correspondence, briefs, reports, and presentations.
- Maintain executive diaries, action registers, and task lists, ensuring priorities are progressed and completed.
- Coordinate and provide administrative support to Executive‑led meetings, including agendas, minutes and papers.
Planning, Reporting & Coordination- Support portfolio and team planning activities, workshops and meetings.
- Compile and coordinate executive and portfolio‑level reports.
- Prepare planning documents, summaries, analysis, and briefings to support informed decision‑making.
- Track commitments, deadlines and milestones, escalating risks where required.
Communication & Engagement- Enable clear, accurate and timely communication across the Executive portfolio.
- Coordinate leadership briefings and team communications.
- Facilitate effective information flow between Executives, leadership teams and stakeholders.
- Follow up actions, confirm outcomes and close communication loops.
Project & Operational Support- Provide practical operational and administrative support to portfolio initiatives.
- Track deliverables, milestones and risks, resolving routine issues to keep work moving forward.
People, Culture & Collaboration- Contribute to a warm, inclusive and respectful workplace.
- Work collaboratively with others, sharing information and supporting innovation.
Risk, Quality & Compliance- Contribute to organisational risk, quality and safety systems.
- Support compliance with regulatory, contractual and organisational requirements.
- Assist with policy and procedure development and accreditation preparation.
Qualifications and Experience
- Relevant tertiary qualifications or extensive experience in executive assistance or executive operations.
- Proven experience supporting senior executives in complex, people‑centred or service delivery environments.
- Demonstrated experience as a trusted executive partner enabling effective decision‑making and operational success.
- Advanced executive support and administration skills along with exceptional organisational abilities to manage competing priorities and deadlines.
- Advanced capability in Microsoft Office (Word, Excel, Outlook).
