About the Role
Working in a dynamic fast paced environment, an exciting opportunity has arisen for an administrator to provide high level, proactive, confidential and efficient administrative support to a high professional standard for the People Logistics and Village Operations Managers.
In this role you will:
• Provide high-level support to the Village Operations and People Logistics Managers.
- Have the overriding ability to prioritise assigned work and deliver on expected outputs.
- Ability to manage multiple calendars ensuring meetings are effectively prioritised to enable the efficient organisation and execution of activities.
- Promptly address conflicting priorities, management of day-to-day activities, forward planning, and co-ordination of meetings.
- Actively identifies improvement opportunities and time optimisation solutions to forward plan work.
- Proactively manage information flow and communications, including internal and external calls, requests, correspondence and delegation of other matters to appropriate people.
- Collate and prepare presentations and correspondence, including collection and interpretation of data from key contacts.
- Co-ordination of site visits, including travel & accommodation bookings, preparing the agenda, arranging meetings, and ensuring all activities are well planned.
- Prepare various reports for weekly distribution.
- Support the Managers achieving their KPIs (Key Performance Indicators) via weekly, monthly and quarterly planning routines.
- Arrange meetings and workshops as required for the People Logistics & Village Operations teams.
- Take meeting minutes and actions where required.
- Provide cost management assistance by way of credit card reconciliation and the creation of purchase requisitions.
- Participate and contribute to field leadership activities.
- Assist with new employees onboarding.
- Coordinate visitor meetings, access and arrangements.
About You
We are looking for someone who is a professional, collaborative, organised and adaptable. Experience in stakeholder management and administration at a high level for a large organisation is preferred. In addition;
- You have a proven ability to work autonomously and proactively, establishing priorities and taking responsibility for time sensitive deliverables.
- Your strong problem-solving ability and organisational skills are an asset.
- Your attention to detail, initiative, and ability to engage with a diverse range of stakeholders is key to being successful.
- You are an advocate for enabling collaboration and the simplification of tasks.
- You possess excellent verbal and written communication skills and can engage with all levels of the organisation.
- You have excellent skills in the use of Microsoft Office products, with SAP experience desirable.
- You always maintain confidentiality with correspondence and related material.
Location
You will be based in Perth, Western Australia, in the multi award winning office tower - City Square. You will have stunning river views from your modern open plan office, state of the art facilities including virtual whiteboards and video conferencing facilities, 550 bicycle racks with ample lockers, showers and change room amenities and a large outdoor terrace with barbecues.
