The Opportunity
An exciting opportunity exists for an experienced Office Services Manager to join our Sydney head office. In this role, you will be a key liaison for our offices, acting as the central point of contact for all office related queries.
You will be providing excellent service to all stakeholders including employees, clients, and service providers to ensure the daily operational effectiveness of the office, compliance with the Urbis operational risk management framework and all local procurement and supplier management activities.
You will also be responsible for developing, implementing and managing all facilities management activities including national maintenance schedules, and asset management systems.
More about your role:
- Lead the implementation of the facilities management ticketing system and provide ongoing management and training of the system to the Office Services team;
- Develop a maintenance plan for all Urbis Premises and ensure training to the wider Office Services team;
- Develop a system for national asset tracking including the monitoring of asset life cycle;
- Contribute to the local delivery of the Workplace Strategy and Premises Strategy in conjunction with the Urbis Property Committee and Group Office Services Manager;
- Partner with the Property Committee and Group Office Services Manager to ensure compliance of local tenancy lease and sub-lease(s);
- Manage and oversee all concierge staff to ensure the highest standards of customer service are provided to all employees, visitors and external providers;
- Collaborate with the Regional Director and Brand & Clients team to ensure delivery of outstanding client and staff events hosted on Urbis premises.
- Work closely with the HR & I&D teams to deliver a best in class employee onboarding and induction experience;
- Collaborate with the Regional Director to successfully deliver key employee events (Friday afternoon drinks, End of Financial Year and Christmas parties);
- Contribute to the development of and compliance to the local operations budget;
- Ensure all procurement activity is compliant with Urbis Group procurement policies and procedures;
About You:
- Degree qualified in either Business Studies or Management preferred not but essential
- Demonstrated experience in an office management role for a 200+ person office or a similar workplace environment
- Demonstrated system experience and ability to develop, implement and manage such systems for facilities management requests (faults), maintenance schedules, and asset management.
- Successful track record of people leadership, including coaching and developing a high-performance team
- Proven experience using the Microsoft Office suite including Word, PowerPoint, Excel and Teams
- Excellent written and verbal communication skills which includes producing well-constructed high-quality written work, communications and advice
