Meet some of our people and learn more about the Commission and our Regulatory Strategy on our website www.agedcarequality.gov.au About the Team: The Chief Clinical Advisor Division provides the focal point for clinical expertise within the Commission. We are a team of experienced registered clinicians including medical specialists, registered nurses, pharmacists, dieticians, and speech pathologists supported by dedicated administration and project staff. We provide expert clinical advice on clinical risk and matters to support regulatory activities and decision making, as well as the non-regulatory functions of the Commission. About the Role: Reporting to the Chief Clinical Advisor, the Executive Officer provides high level administration and strategic support services to assist the Chief Clinical Advisor Division achieve business objectives. This includes providing expert advice and contributing to decision making, escalating sensitive issues and proposing solutions, and effectively co-ordinating, tracking and reporting on key activities, issues and priorities. The Executive Officer will work closely with the Chief Clinical Advisor and the Divisions Directors and Managers and staff, to ensure that administrative and operational support and advice is provided in a timely and efficient manner, and in a way that is consistent across the Division and Commission. This will involve specifically, working in a coordinated way with the Chief Clinical Advisors Executive Assistant Position Duties:
- Ensure the Chief Clinical Advisor receives comprehensive, high quality, effective executive and administrative support to be able to fulfil their statutory, leadership and management responsibilities
- Act as the Chief Clinical Advisors first point of contact; analysing and actioning requests to prioritise urgent and often sensitive matters, taking decisive action to facilitate the optimal use of the Chief Clinical Advisors time
- Provide leadership in co-ordinating activities across the Chief Clinical Advisor Division on behalf of the Chief Clinical Advisor, involving appropriate staff and stakeholders, from within and external to the Chief Clinical Advisor Division, ensuring they are integrated and aligned with Commission-wide interests, priorities and strategy
- Establish and maintain strong and effective working relationships with the Divisions Directors and Managers to manage the flow of information to the Chief Clinical Advisor for the effective co-ordination of unit/division level responses
- Identify and understand issues, competing interests and rapidly changing priorities across a broad range of areas to ensure that the Chief Clinical Advisor has consistent and timely advice
- Coordinating through relevant staff, activities requiring participation, involvement or responses by the Chief Clinical Advisor, including presentations and participation in events
- Proactively co-ordinate, review and quality assess documents on behalf of the Chief Clinical Advisor, ensuring attention to detail has been adhered to
- Research, collate and provide briefs to support the Chief Clinical Advisor with informed decision making and planning
- Co-ordinate Chief Clinical Advisor Division input into briefings, estimates briefs and other requests for input/information, ensuring directors and their teams are on time and accurate in their responses
- Oversee secretariat services, facilitating the delivery of accurate and timely agendas and minutes including the coordination and management of the reporting actions
- Monitor, implement and evaluate administrative practices, systems and procedures in the Chief Clinical Advisors office to enhance the efficiency and achievement of quality outcomes
- Provide leadership, direction, supervision and mentoring to support the development and retention of executive support staff within the team
- Support change management activities including staff participation, consultation and cultural change
- Co-ordinate financial and budget management activities on behalf of the group
- Coordinate recruitment activities, including advertisement, interviews and panel decision-making on behalf of the group

- Capacity to work in a busy environment, working with competing priorities and ability to effectively manage and prioritise workload to deliver an agreed outcome
- Demonstrated leadership and management skills, including the ability to foster a positive and supportive team culture.
- Demonstrated strategic, planning, analytical and problem-solving skills, including the ability to assess and manage risk
- Demonstrated competence in financial matters including budget management
- Demonstrated ability to effectively manage interpersonal relationships with respect and communicate with influence with internal and external stakeholders
- Highly developed written and oral communication skills and demonstrated ability to communicate information coherently and concisely to a range of audiences
- Demonstrated experience in a public sector role and understanding of the Commissions role as an end-to-end regulator
- An understanding of operational and corporate requirements across the Aged Care Quality and Safety Commission or similar environments
- Baseline security clearance (as a minimum requirement).
