Executive Assistant

The Department of the House of Representatives is seeking applications from those interested in directly supporting the work of the House of Representatives and members of Parliament at Parliament House in Canberra.

The Serjeant-at-Arms (SES Band 1) is a member of the departments senior executive and is the chief ceremonial officer for the House of Representatives. As the departments Chief Operating Officer, the Serjeant-at-Arms is responsible for four offices: the Corporate Governance Office, the Finance Office, the People Strategies Office, and the Serjeant-at-Arms Office. Together, these offices provide advice, services and support to the Speaker, ministers, Members of the House of Representatives and their staff, as well as to the department and its executive. The Serjeant-at-Arms works with counterparts in other parliamentary departments and the Australian Federal Police on security matters in the parliamentary precincts. Working with the team in the Serjeant-at-Arms Office, the Serjeant-at-Arms supports and advises the Speaker on ceremonial and security matters, particularly in relation to the House of Representatives chambers, and on aspects of service provision to Members of Parliament.

About the role

The department is looking for an enthstic, motivated and experienced Executive Assistant to support the Serjeant-at-Arms in the unique, rewarding and diverse work the office offers.

The Executive Assistant has a key role in providing comprehensive and high-level support to ensure the smooth operation of daily activities. You will be valued for your organisational skills, attention to detail, and ability to handle sensitive information with tact, discretion and sound judgment. You will use your well-developed communication and stakeholder management skills to foster key internal and external relationships and ensure smooth workflow and clear communication. Ideally, you have strong coordination skills, enjoy collaborating across teams and taking the initiative, are a problem solver, and possess excellent time management abilities.

You will proactively manage the workload of the Serjeant-at-Arms and encourage a team-based approach to the delivery of services across the program area, by delegating and assigning tasks to team members, setting clear expectations, and monitoring reporting and delivery deadlines. You will play an important role in anticipating, identifying and resolving issues early for the Serjeant-at-Arms and will efficiently and effectively manage workflow and competing priorities.

Working with the Serjeant-at-Arms and the departments Executive, you will also coordinate administrative support for the broader department and assist the departments corporate areas as required.
