We are a locally Katherine owned and based Building and Trade Service company looking for a skilled and professional Business/ Office Administrator to join our team.
This role comes with full time hours over a 5 day work week from Monday - Friday, with earlier start and finish times than many other admin roles due to our industry. The position offers opportunity to expand responsibilities and your role within the business in the future, depending on your individual professional goals and eagerness to continue to develop their skills within the industry.
We are a fast-paced local business with a strong local workforce. Our business delivers new constructions, rectification and renovation building works, maintenance and trade services within the government owned sectors across the Northern Territory and has a high level of work turnover that is successfully delivered throughout the year.
Our work is varied therefor our team members require flexibility and capacity to manage the demands of the different sectors in a fast paced and ever changing environment delivering time critical tasks whilst also working with a large team of trades with confidence as you will be the face of the business and the go to person for trades passing through the office and workshop needing assistance.
The role will include, but not limited to:
To be the front face of the business and office, welcoming visitors and site staff in a professional manner
Answering of office phone and responding to enquires, or directing to the appropriate team member
Use of multiple project and business software packages both in house and client based to support workflows, data management and compliance, these include but not limited to Service M8, BuilderTrend, SiteDocs, Click-Up and government portals.
Email Inbox management over multiple accounts
Data entry tasks - Import, collate and allocate time critical data in our project management systems including work orders, POs, invoices, timesheets and completion notes from the trades reports. This is a shared task between multiple people depending on the sector of the business, but capacity to step up and fill in when short staffed outside of your standard requirement is critical.
New trade onboarding and qualification compilation
Complete and or collate worker, business and project related documentation and reporting
Manage and run our web based vehicle and tool location tracking systems, including following up trades in which have this equipment.
Communicate and work with trades, labour and sub-contractors daily face to face and via phone, supporting them with information materials to complete their tasks, including issuing PPE, uniforms or equipment
Support the trades with the training and use of smart phones and Ipads, and the use of company project an safety software systems.
Support the trades and ensure all required reporting and paperwork is returned on time such as time sheets, vehicle inspections, compliance documentation etc.
Be confident in having to follow trades up if things are not completed.
Book worker accommodation and travel requirements throughout the NT via phone and email, often urgent/same day scheduling or adjustments
Book delivery and transport for materials as necessary
Purchase office, kitchen and cleaning supplies
Purchase and manage allocation of staff uniforms, PPE, first aid and other items as requested
Schedule and communicate with external providers such as training organisations or mechanical services at the direction of Management
Collect post and run local business errands
Complete basic cleaning tasks such as rubbish removal and wipe downs throughout the workshop and the office around the professional cleaners schedule
Redirect any unauthorised persons in the workshop or people without correct PPE such as correct shoes.
Flexibility to support the business with Ad-hoc business and work related tasks as required
The right applicant will possess the following:
Although experience within a building or maintenance company is highly advantageous, its not essential.
Experience in a similar role is required
Sound knowledge of standard office computer systems such as Microsoft office, outlook and confident learning new systems that regularly update and change
Ideally hold previous experience using project and safety management systems such as BuilderTrend, Service M8 and/or SiteDocs, but not essential - must be willing and able to learn systems end to end
Knowledge using technology such as smart phones and iPads as you will be the person to hand over equipment to trade staff and be able to show them around the necessary apps or be the first point of call if they are having any issues (we will train you on the specific software use)
Professional manner with clear communication, mature minded
Fast learner in new systems and processes
Sound attention to detail
Capacity to manage a fast paced work load with ever changing priorities, often with short deadlines. A lot of our trade staff and a number of our senior managers spend a lot of time working in remote areas so ability to forward plan and problem solve is critical, often with critical short timelines
Ability to work confidently, autonomously and self managed with your work load, as well as within a wider team ranging from management, trades, as well as external sub-contractors and suppliers
Australian Drivers License
Fluent English speaking
Strong literacy skills
Long term full time employment capacity living local in Katherine Township as this can not be a hybrid role
